Short answer: In three days, a manufacturer can clarify the request, organize the best available data, prepare a documented preliminary product carbon footprint, and explain what is still missing. Three days is not normally enough to promise third-party verification, certification, or a final value suitable for every public claim.

A product carbon footprint request often arrives without warning:

“Please provide the product carbon footprint and supporting methodology for this product.”

Sales wants an immediate response. Engineering has a bill of materials. Procurement is still waiting for supplier data. No one is certain whether the customer needs one number, a calculation file, a formal report, or independently reviewed evidence.

The right goal for the next 72 hours is not artificial precision. It is a response that is useful now and can be improved later without rebuilding the work from the beginning.

What the customer may mean by “PCF”

A product carbon footprint, or PCF, quantifies greenhouse gas emissions associated with a defined product and expresses the result in carbon dioxide equivalents, usually as kg CO2e per product, per kilogram, or per tonne.

Before calculating anything, confirm three terms.

Product unit

Agree on the product model, version, and unit. A footprint per item cannot be compared directly with a footprint per kilogram unless the conversion is explicit.

System boundary

Write down which life-cycle stages are included. A cradle-to-gate footprint may include materials, inbound transport, manufacturing, losses, and packaging up to factory dispatch. A gate-to-gate result covers only a manufacturing stage. A cradle-to-grave study can also include distribution, use, and end of life.

Do not rely on the label alone. State what is included and excluded in plain language.

Intended use

An internal screening estimate, a supplier questionnaire, a tender submission, a public environmental claim, and a result prepared for independent review do not have the same evidence requirements. Ask where the value will be used before deciding what can responsibly be delivered in three days.

The 3-day PCF response plan

Day 1: Clarify the request and freeze the scope

Confirm these five points with the customer or commercial team:

  • Which product, model, configuration, and production site are in scope?
  • Is the result required per item, per kilogram, per tonne, or per order?
  • Which stages must be included: materials, manufacturing, transport, packaging, use, or end of life?
  • Which reporting period and geography should the data represent?
  • Does the customer need a preliminary estimate, a methodology note, supporting evidence, or independent verification?

By the end of the conversation, you should be able to write one scope sentence:

“We will estimate emissions for one unit of Product X, manufactured at Site Y using 2025 data, covering raw materials through factory dispatch. The first response is for customer procurement review; supplier-specific data and independent verification are not yet complete.”

If that sentence is still unclear, the calculation is not ready to begin.

Day 1: Collect the highest-priority data

Do not wait for every possible document. Start with the information most likely to change the result.

Product and material data

  • Bill of materials, recipe, or product specification
  • Material names, grades, weights, and units
  • Production loss, scrap, yield, and recycled-content information
  • Product quantity and production period

Facility data

  • Electricity, natural gas, steam, and fuel consumption
  • Production volume for the same period
  • Allocation basis when energy is shared across products or lines
  • Direct process emissions, packaging, and internal transport where relevant

Supplier and logistics data

  • Supplier-specific footprints or production data, if available
  • Material origin and supplier location
  • Transport mode, distance, and shipped weight
  • Supporting evidence for recycled content or other material claims

Data provenance

Record where every number came from. Separate primary company or supplier records from secondary database averages. Secondary data can support a first estimate, but it must be labelled rather than presented as supplier-specific evidence.

Can you start with only a BOM?

Yes, but a BOM normally supports only a partial first estimate.

If the BOM shows 0.8 kg of aluminium and 0.2 kg of plastic per product, material-stage emissions can be screened using documented reference factors. Without facility energy, production loss, transport, packaging, or other relevant stages, however, that result should not be described as a complete PCF.

State clearly:

  • Which sources are included
  • Which sources use industry-average data
  • Which sources remain excluded or unresolved
  • When the missing information will be added

Day 2: Calculate without creating false precision

The basic calculation is straightforward: activity data x emission factor = emissions. The professional work is determining whether the activity data, factor, unit, boundary, and allocation method are appropriate for this product.

For every material or emission source, retain:

  • Product unit and calculation boundary
  • Activity-data source, period, geography, and unit
  • Emission-factor source, version, geography, and unit
  • Unit conversions and allocation logic
  • Treatment of losses, recycled content, and shared energy
  • Assumptions, exclusions, and unresolved data gaps

If key data is missing, report a range or label the result as preliminary. Avoid unnecessary decimal places that imply more certainty than the evidence supports.

Day 3: Prepare a customer-ready response pack

A first response does not need to be a long report. A useful three-to-five-page package can contain:

  1. Executive result: product, unit, boundary, reporting period, and preliminary result
  2. Method summary: materials, energy, transport, packaging, allocation, and factor approach
  3. Data-source register: primary records versus secondary reference data
  4. Gap and risk list: missing supplier evidence, estimates, exclusions, and high-impact uncertainties
  5. Next-step plan: data owner, required action, target date, and whether independent review is needed

A concise customer email can say:

“Attached is our preliminary cradle-to-gate footprint estimate for one unit of Product X. It uses the production data currently available and documented secondary data where supplier-specific information is pending. The calculation boundary, assumptions, exclusions, and open data requests are listed in the attachment. Independent verification has not yet been completed.”

Claims to avoid in the first response

Use wording that matches the maturity of the work.

  • Instead of “This product emits 2.34 kg CO2e,” write “Preliminary estimate: 2.34 kg CO2e per product under the stated boundary and assumptions.”
  • Instead of “ISO 14067 certified,” write “Prepared with reference to ISO 14067; independent review has not been completed.”
  • Instead of “Supplier-specific footprint,” write “Estimate based partly on secondary data; supplier-specific information is pending.”
  • Instead of “Complete product carbon footprint,” name the stages covered and excluded.

Clear qualification does not weaken the response. It tells the customer what the result can and cannot support.

After the emergency: make the next request easier

Once the initial response is delivered, turn the project into a repeatable workflow:

  1. Save the clarification questions as a standard intake form.
  2. Standardize fields for BOM, energy, logistics, packaging, and supplier data.
  3. Maintain an emission-factor register with source, version, geography, unit, and permitted use.
  4. Separate primary evidence from secondary estimates.
  5. Keep results, assumptions, source files, review comments, and changes in one versioned project record.

This is where a managed workspace becomes valuable: the next customer request can reuse the product structure and evidence while updating only the data that changed.

Frequently asked questions

Can an ISO 14067 report be completed in three days?

It cannot be promised based on time alone. Three days may be enough for scope clarification, first data collection, and a preliminary calculation. A formal report depends on the intended use, data completeness, applicable rules, review requirements, and whether independent verification is needed.

If the customer asks for only one number, do we still need the boundary?

Yes. At minimum, state the product unit, life-cycle stages, production site or geography, reporting period, and whether the result uses primary or secondary data. Without that context, the number cannot be interpreted or compared reliably.

Must the project stop if suppliers have not provided carbon data?

Not always. A first estimate can use traceable secondary data while priority supplier information is requested. The use of secondary data and its limitations must be disclosed.

What is the difference between a PCF, LCA, and EPD?

A PCF focuses on greenhouse gas emissions for a defined product. An LCA can assess multiple environmental impacts. An EPD is a standardized declaration prepared under applicable product-category and program rules and independently verified. They can share source data, but they are not interchangeable. Before sending the first response, confirm that it identifies:

  • Product and functional or declared unit
  • System boundary and exclusions
  • Production site, geography, and reporting period
  • Primary and secondary data sources
  • Emission-factor sources and versions
  • Allocation and conversion methods
  • Missing data, assumptions, and material risks
  • Review status and next update date
